Your privacy is important to us. This policy explains what personal information we collect through the RepShare app, our website and our agency services, how we use it, and how you can access or correct it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

4. How we collect it
4.1 Mostly from you, when you sign up, use RepShare or contact us.
4.2 We also collect it from your business (for example, a Vendor that invites you), from Representatives who record venue contacts, from wholesalers that process orders, from our payment providers, and from public sources such as ABN Lookup.
4.3 If you give us someone else’s details, please make sure they know about this policy.
5. How we use it
5.1 We use personal information to:
- (a) set up and manage your RepShare account;

5.2 We may send you news about our services. You can unsubscribe at any time. Service messages, such as payment notices, will still be sent while you have an account.
6. Location
6.1 RepShare records your location only when you check in and check out of a Job, to confirm you attended the venue. We do not track you at any other time.
7. AI
7.1 Some RepShare features use AI to help draft Briefs or summarise activity.
7.2 Our AI providers are not allowed to use your information to train their models.
7.3 Decisions about work and pay are always made by a person.
8. Who can see your information
8.1 In RepShare, people only see what they need for their role.
8.2 A Vendor sees the work done on its own brands. A Representative sees the venue and Vendor contacts needed for their Jobs.
8.3 Internal notes are visible only to the organisation that wrote them and to Drinks Network admins.
9. When we share it
9.1 We share personal information only when needed, with:
- (a) Vendors and wholesalers, to manage work and fulfil orders;
- (b) our service providers, such as hosting, payment providers (GoCardless and Stripe), accounting, email and AI providers;
- (c) our professional advisers and insurers;
- (d) government agencies, where the law requires; and
- (e) anyone else, with your permission.
9.2 Our staff and contractors who access personal information must keep it confidential. We do not sell personal information.
9.3 Some providers may store information outside Australia. When they do, we take reasonable steps to make sure they protect it.
10. Research and statistics
10.1 We may use information to understand trends, such as average visit times across a region. When we do, it is de-identified so it cannot identify you, a Vendor or a brand.
11. How we protect it
11.1 We protect information with secure servers, encryption, passwords, role-based access and activity logs.
11.2 We keep business and tax records for at least 7 years, as the law requires. When we no longer need information, we delete it or de-identify it.
11.3 If a data breach is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner.
11.4 If you think your information has been misused or accessed without permission, tell us immediately.
12. Accessing and correcting your information
12.1 You can update most of your details directly in RepShare.
12.2 You can also ask us for a copy of the information we hold about you, or ask us to correct it. We will check your identity first and respond within 30 days. There is no charge to make a request or a correction.
12.3 Sometimes we may not be able to give you access, for example if it would affect someone else’s privacy or breach confidentiality. If so, we will tell you why in writing.
12.4 If we don’t agree a correction is needed, you can ask us to add a note to your record saying you disagree.
13. Complaints
13.1 If you have a privacy concern or complaint, contact us using the details below. We will treat it confidentially and respond within a reasonable time.
